  • What happens when I delete a document – is it then also deleted from the recipients?

    If your recipients do not have an account, they lose access to the document by deleting it; otherwise, the document remains intact.


  • What happens if I send a document but forget to log in – can I move the document to my account?

    Yes, if you used the same email address that you have an account with, the document will automatically appear in your dashboard. If you have used a different email address, there is the possibility to link multiple email addresses to your account.


  • How long does it take to integrate sproof sign into existing workflows via API?

  • Can I manage my documents in sproof sign?

    Yes, with the free account you can manage a limited number of documents. In the premium version, you can manage as many documents as you want.


  • Can I do my own branding?

    Yes, all premium packages include the option to store a company logo and company icon. This is displayed in invitation emails and when signing.


  • Can I define the signature field in which my contact must sign?

    Yes, the position of the signature can be optionally predefined in the process of invitation.


  • Can I sign several documents at once?

    Yes, after the one-time identification for the qualified signature, the use of the batch signature is possible for these users. Documents can then be placed on a virtual stack and signed collectively.


  • Is there any way to remind my contacts to sign?

    Yes, reminder emails can be sent automatically. When sending out an invitation, you can optionally specify a day until which signatures should be sent. If a person has not signed by then, he will receive a friendly reminder by email. You can also send a reminder manually.

  • Can I specify an order in which the signatures are obtained?

    Yes, directly during the invitation the order can be defined. You can give all people the opportunity to sign at the same time, define multiple groups or set an individual order. As soon as all persons of a group have signed, the next group is automatically invited.


  • Can I sign or initial a document more than once?

    Yes, this is possible. However, this is not necessary in principle for digital signatures, since a digital signature (technically) always includes the entire document.


  • What is a signature profile?

    A signature profile is a visual representation of your signature, e.g. an image of your handwritten signature or a company stamp. In sproof sign you can create different profiles to be able to insert your signature quickly.


  • How many people can I invite to sign a document?

    In the free version, only a limited number of people can be invited in addition to yourself. In the premium version, any number of people can be invited.


  • Can I use or create form fields?

    Yes. If your PDF document already contains form fields, you can fill them out directly in sproof sign or send them to be filled out. In addition, you can also edit these form fields or create new fields in sproof sign.


  • Which document types can I use?

    sproof sign supports PDF and Word (DOCX) documents.


  • Why is it more secure, faster and cheaper to sign a document with sproof sign than the old way?

    Because documents do not have to be printed out, signed and scanned again for emailing. With sproof sign, the documents are managed securely and are protected.


  • What are the advantages of using sproof sign?

    sproof sign offers faster handling of signature processes and thus time savings; the workflow is clearer and the process more controllable. The printing and scanning of documents as well as the time-consuming signing of documents on paper is no longer necessary. In addition, CO2 can be saved.


  • Is my signed document also valid when printed out?

    No. Digital signatures cannot be verified when printed out. However, the qualified digital signature is equivalent to the handwritten signature and as such is also accepted digitally instead of printed documents.


  • Can I make changes to the document after signing?

    No. Once a document has been digitally signed, no more changes can be made. These would render the affixed signatures invalid. Such changes include splitting the document, adding pages, etc. An exception is the application of additional digital signatures; this is possible even after some have already been applied.


  • Can I sign more than once or on more than one page in a document?

    Yes, this is possible. However, this is not necessary in principle for digital signatures, since a digital signature (technically) always includes the entire document.


  • How can I be sure that the (qualified) digital signature is valid?

    (Qualified) digital signatures created with sproof sign are standard-compliant and embedded in the PDF document. These can be checked with common programs (e.g. the Adobe Acrobat Reader) or with online verification tools (e.g. the RTR verification service, Signature verification).


  • What happens when my Premium package expires?

    Premium packages are renewed automatically. You can cancel the package at any time before renewal without notice.


  • What IT infrastructure do I need to be able to use sproof sign?

    sproof sign is a cloud-based solution. To access it, you need internet access, PC, laptop or mobile phone. You do not need to install any software or host it yourself.


  • Do I need to download my documents to my computer after signing?

    The documents do not have to be downloaded to your own computer, as Premium customers can also save the documents indefinitely.


  • How long will my data be stored or can I set this myself?

    The documents are stored for 30 days and then automatically deleted. As a Premium customer, you can deactivate the automatic deletion and keep the data indefinitely. Furthermore, each individual document can be completely deleted manually at any time. You can also download documents at any time and save them locally.


  • Where are the servers?

    In Austria, Germany, the Netherlands and France. All servers are operated in Europe and there is no US reference and thus sproof sign is also GDPR compliant after the ruling on Privacy-Shield (“Schrems 2”) of the EUGH. The data centers are ISO 27001 certified.


  • Where is my data stored?

    Your data is stored in your personal account in our European, ISO-certified and GDPR compliant data centers. Optionally, documents can be automatically deleted from our servers after 30 days. A manual download and deletion or a query and deletion of the documents is possible at any time.
