KURZZEiTmiete has been facilitating the letting and renting of temporary furnished apartments in Austria for over 12 years. Its founder and managing director, Simon Siller, created the platform to bring tenants and landlords together and simplify the process of changing apartments. Tenants can explore the apartments on offer online on the platform without having to be on site. For landlords, KURZZEiTmiete offers various service packages to make renting out their apartments easier and to benefit from legal security and comprehensive services. With its motto "Move in and feel good", KURZZEiTmiete strives to make the entire process of finding and renting a home as stress-free and pleasant as possible. Their mission is to provide tenants and landlords alike with a simple and reliable platform to find or offer temporary accommodation.

How did the decision to introduce the digital signature come about?

The decision to introduce the digital signature was the result of a long period of consideration and a continuous development process. We had already been working on the topic of digitalization and optimizing our processes for several years. When we came across sproof, a regional solution from Salzburg, we saw the opportunity to perfect our customer journey and offer our customers a seamless experience. A survey of our customers also confirmed their interest in digital signatures, which tipped the scales in favor of implementation. Without the use of digital signatures, the customer would be sent into a manual process after signing, where they would have to print out the rental agreement, sign it, scan it and then forward it to the tenant.

What criteria were decisive for you when looking for the right e-signature provider?

When choosing an e-signature provider, aspects such as data protection, regional proximity and technical feasibility were particularly important to us. As we attach great importance to personal contact with our partners and also prefer a regional solution for data protection reasons, sproof was the ideal choice for us. We were also impressed by the professionalism and expertise of the team and the possibility of simple integration into our existing platform.

For which applications is the digital signature used?

KURZZEiTmiete uses digital signatures primarily for the signing of rental agreements between tenants and landlords. This primarily includes the rental of accommodation for professional relocations, but also short-term accommodation for separated spouses or other temporary housing needs.

A prime example is the Vienna Philharmonic Orchestra, which requires accommodation for one to two months during the famous Salzburg Festival. This also gave rise to our business idea. However, KURZZEiTmiete is now much bigger than it was twelve years ago.

For most use cases, the landlord posts their accommodation on our website themselves, including text, pictures, videos, etc. Then the tenant comes to the other side and requests the accommodation. The whole process is then completed by us, including the rental contract, which is created automatically, invoicing and payment processing. The signing process itself is as follows: first, a rental agreement is created between the tenant and landlord, which contains all the necessary data. This contract is then adapted to the user's language and uploaded as a PDF document to sproof sign, which enables us to sign it digitally. The software then sends a notification to the tenant, who is asked to sign the rental agreement digitally. This can be done by e-mail or directly via the completed reservation. As soon as the tenant has signed the contract, the landlord receives an e-mail notification in which he is also asked to sign. As soon as the landlord has also signed, the digitally signed rental agreement is sent to both parties as an attachment and is also signed and stored in the detailed view of the reservation in the tenant or landlord account. After that, our part is done and the tenant and landlord just have to get in touch to clarify the handover of the keys. sproof is invisible in this case, as we have created the emails linked to the interface ourselves.

How did the cloud integration work?

The integration of the cloud into our company went smoothly. However, as we operate in an industry that has very specific requirements, it was important to find a signature solution that could meet these requirements. Sproof was able to do this and by working with an experienced programmer, we were able to use sproof's interface documentation and customize it to our individual needs. Special requirements such as fallback scenarios in the event that our server was unavailable, for example, had to be taken into account. Our programmer implemented these solutions to ensure that our signing process works smoothly and meets the specific needs of our customers. Thanks to sproof's expertise and the flexibility of our team, we were able to successfully complete the cloud integration and optimize our workflows.

What data security and compliance standards must a software solution in your company meet?

In our company, we attach great importance to data security and compliance with applicable data protection regulations. Therefore, the chosen software solution also had to meet these requirements, especially with regard to the storage and transmission of sensitive customer data. sproof sign was able to fully meet these requirements. In addition, sproof offered a transparent and trustworthy solution from the region, which further mitigated our security concerns and was a clear plus point.
